VACANCY ANNOUNCEMENT

United Nations Office for the Coordination of Humanitarian Affairs (OCHA) Sudan in Nairobi invites applications from suitably qualified Sudanese citizens to fill the

Post : Administrative/Finance Assistant, (GS 5)

Based : Nyal, South Sudan.


DUTIES AND RESPONSIBILITIES

The Administrative/Finance Assistant reports directly to the Area Coordinator in Nyal. He/she is expected to assume the following duties and responsibilities:

§ Supervise the driver and coordinate daily transport needs for the Nyal office.

§ Assess tenders for local procurement, and recommend to certifying officer for approval.

§ Coordinate monthly mileage and fuel reports, and initiate requests for fuel, as well as motor vehicle repair schedules for all the field offices, with the Admin/Finance Assistant, Nairobi.

§ Initiate re-orders of stationery for the Nyal and satellite field offices, with the

Admin/Finance Assistant, once levels are half way. Maintain stock of office supplies, as well as inventory records.

§ Coordinate physical space planning and the identification of office technology needs and maintenance of equipment, software and systems.

§ Draft routine correspondence in response to administrative, financial audit and personnel matters.

§ Make travel bookings, initiate travel authorisations, security clearances and DSA for local trips and foreign trips. Assist staff settle F10 claims.

§ Maintain staff members’ cumulative time off records and present overtime sheets for General Service staff to the Finance Clerk in Nairobi, for payment action.

§ Maintain and monitor all leave and attendance records for local and international staff.

§ Make lodging reservations in Nyal and other field sites for visiting OCHA staff travelling in the area.

§ Initiate SRRC pass applications for OCHA staff members stationed in Nyal, and for the other OCHA offices.

§ Submit monthly records on the 5th of the next month to the Admin/Finance Assistant in Nairobi, for action, for paying hazard pay etc.

§ Maintain an orderly filing system.

§ Maintain petty cash float and accurate records, ensuring that funds for the Nyal office and other field offices are available when needed.

§ Perform other tasks as required.


QUALIFICATIONS AND EXPERIENCE
Completion of Secondary School education

Minimum Diploma in Business Administration or related course

Good communication and writing skills

Over five years experience in administrative/office functions

DUTIES AND RESPONSIBILITIES

Under the supervision of the Area Coordinator, the incumbent will work closely with the Field Coordinators of UN-OCHA Sudan in fulfilling their duties and responsibilities. The Programme Assistant is expected to perform the following tasks:

Provide administrative and secretarial support to the Professional Officers, including the processing of incoming mail, searching for relevant background material needed for preparation of reports, drafting of correspondence, tracking of incoming and outgoing correspondence by the maintenance of electronic mail registers, responding to general enquiries, maintenance of the physical and electronic filing system and the dissemination of outgoing correspondence and documentation.
Organise meetings, including scheduling and sending out of invitations, booking of conference rooms and facilities, preparation of in-session documentation, taking of minutes and follow-up action. Organise travel arrangements and hotel accommodation for meeting participants if required. Organise social functions such as lunches and receptions, negotiating menus and venues.
Update and maintain the OLS UN and NGO ID Card lists and submit the lists quarterly to the Embassy of Sudan.
Collect and compile information for the first draft of the South section of the Sudan Assistance Bulletin, the Note to Management, and other relevant publications and reports.
Maintain and update contact lists.
Maintain the Starbase filing system. Compile electronic Starbase reports on CD.
Assist as directed in the preparation and review of the Consolidated Appeal Process for Sudan, including the organisation of workshops, compilation of background material, follow up with information requests from agencies and the formatting of sections.
Perform any other duties as may be required.
QUALIFICATIONS AND EXPERIENCE
Completion of Secondary School education

Minimum Diploma in Secretarial course.

Good communication and writing skills

Over five years experience in secretarial/office functions
